This Privacy Policy describes how Heroe Community (hereinafter: “Heroe”, “we”, or “us”) processes and protects the personal data of individuals interacting with our events, platforms, and services. This includes our website and any online or offline activities where personal information is collected.
This Privacy Policy is prepared in accordance with the General Data Protection Regulation (EU) 2016/679 (“GDPR”) and applicable Hungarian privacy laws.

1. Definitions

• Personal Data: Any information relating to an identified or identifiable natural person.

• Data Processing: Any operation performed on personal data (e.g. collection, storage, use, deletion).

• Data Controller: The party determining the purpose and means of processing personal data. In this case, Heroe Community.

• Data Processor: A third party processing data on behalf of the Data Controller.

• User: Any natural person visiting our website, registering for events, subscribing to our newsletter, or otherwise interacting with Heroe.

2. General Principles

• Access to our website and information is generally open and does not require the submission of personal data.

• When data is collected (e.g. event registration, newsletter signup, applications), we process it lawfully, fairly, and transparently.

• Users are responsible for the accuracy of the data they provide.

• We may update this Privacy Policy at any time. Changes will be posted on our website and are effective upon publication.

5. Newsletter & Direct Marketing
If you sign up for our newsletter, we’ll send you occasional updates and event invitations. You can unsubscribe at any time by clicking the link in any email or by contacting hi@heroe.community. We use platforms such as Mailchimp for newsletter management.
6. Event Photography & Video
We may take photos and record videos at Heroe Community events to share highlights, promote future events, and build community spirit.
By registering for an event, participants will be asked to explicitly consent via a checkbox (e.g., "I consent to Heroe Community using photos or videos taken at the event for promotional purposes."). If you do not wish to appear in event materials, please notify us in advance at hi@heroe.community.
7. Job & Volunteer Applications
By submitting an application to us, you consent to the processing of your data for recruitment purposes. Your data will be stored for 1 year or 2 years if you agree to be considered for future opportunities. If hired, your data will be subject to an internal employee data policy.
8. Social Media and Public Data
We may review publicly available data on social media (e.g., LinkedIn) to better understand applicants or potential collaborators. We do not store or profile users based on social activity.
9. Mobile Apps & Geolocation
We currently do not collect geolocation data or use mobile apps to track location. If this changes in the future, this Privacy Policy will be updated accordingly.
10. Data Processors
We work with trusted third-party service providers to store and manage data, including:

• Mailchimp – newsletter service

• Google LLC – analytics and infrastructure

• Strikingly or similar – web hosting

• Typeform – data collection via forms

Some data may be stored outside the EU. In such cases, we ensure appropriate safeguards (e.g. Standard Contractual Clauses, Privacy Shield) are in place.
